WHY USE AN ELECTRONIC W-2 FORM?

It’s Secure–your form is secure and accessible the moment the IRS issues it–no more worries about misplacing or losing it.

It’s Convenient–you can access your form when you want it and from wherever you are via the HR4U portal.

It’s Efficient–when tax time comes, you’re ready. And if you file electronically participating* tax preparation software can download the form’s data directly into your return.

The following instructions will assist you in enrolling to receive an electronic W-2 via employee self-service. For assistance with this process, please call HR Payroll Services at (773) 553-4729 Option 1.

How do I consent?

Complete the consent process no later than January 14, 2012 by following these steps:

  1. Log into HR4U.cps.edu
  2. Click on “My Profile” link on the right hand side of the HR4U homepage.
  3. Click on “Payroll and Compensation” link on the left hand side under Employee Self Service section.
  4. Click on the "On-Line W2 Access" to submit consent for online delivery, print current W-2 form and request a replacement W-2.
  5. Click on “Proceed to W2 On-Line Access” after reading Important Note.
  6. On the My Account page, click the “Consent to receive your tax form online” link.
  7. Carefully read all of the consent disclosure information.
  8. Enter your consent code. You may retrieve this code by clicking the link next to the consent code field.
  9. Enter your current CPS email address (and a secondary one if desired) and click “Update Email Address” and then click on "Consent" to complete the process.
  10. You will receive an on screen confirmation message and an emailed confirmation will be sent to the address you provided.


What’s Next?

In January, employees who have consented to receive their W-2 Form online will receive an email notification that their W-2 Form is available online thru CPS@Work Portal. Employees can save their electronic form for future reference and may print it at any time. The form will be available by January 16, 2011.
